Purpose:

This record series consists of case files relevant to applicants pursuing civil service positions within the University.  Documents are  useful for individuals hired, hired but declined, and temporary appointments.  Qualified applicants seeking job vacancies are subject to the grant benefits (United States Code Title 42, par. 2000d-1) and legal requirements (Ill. Rev. Stat. 1989, ch. 68, par. 2-101 et seq., par. 7-105 and 7-106). Contents of the record series include date hired, address and social security number of applicant, amount of pay, resumes, job application forms, letters of recommendation, and informational surveys.  The original files are retained within the Department of Personnel.  The Affirmative Action Office maintains the duplicate copy of the record series.
 

Procedure:

Retain in office for five (5) years following termination of employment, then dispose of provided all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.
