Purpose:

This record series consists of incoming and outgoing communications between the Food Services Department, other university departments, individual vendors, and external individuals outside of the institution.  The documents are used as reference for proper bookkeeping and general inquiries. Contents of the record series comprise letters, memos, policies, procedures, principal listing, updated sales figures and investigation information.  The Food Services Department maintains the originals and duplicates of the series.  Other copies are directed to the University's Food Specialist, designated departments of the University, and external vendors.
 

Procedure:

Retain in office for three (3) years, then dispose of provided all audits have been completed under the supervision of the Auditor General, if necessary, no litigation is pending or anticipated and provided all administrative value has expired.
